Document Preparation

Document preparation is an important first step in assuring a well-functioning production imaging process. We at Filescan Solutions recognize that this is a key element in any conversion process. We are dedicated that your documents are properly prepared for scanning.
Our tasks include inspecting and separating documents, removing staples and paperclips, legal documents are unfolded and documents are not inadvertently stuck together. This is the first step in assuring the accuracy, quality and integrity of every piece of paper we image. Grouping documents into like categories, and designating the beginning and end of documents and batches of documents provides for accurate and economic document imaging.
After your archived paper documents are rendered into documents that can be scanned, they are handled by expert scanner operators using proven methods and state of the art scanning equipment for perfect image reproduction.
Preparation of your paper documents prior to scanning involves:

Removal of staples, paperclips, rubber bands and other obstructions that would compromise image quality. Rips are taped, folded pages are unfolded. Post-it notes are tape to a blank spot on the paper for accurate conversion. If needed, pages are rotated for proper orientation and stacked neatly and symmetrically.

Files hold numerous amounts of paper depending on the parameters determined in the Project set-up stage, the entire file could be one document or could be comprised of multiple documents.
- While preparing the documents the pages in the file are grouped according to the indexing criteria and document breaks are inserted. Also pages with pertinent indexing information become the first page of each document, or separator sheets with barcodes are inserting to help with accurate indexing.
